Cost Savings

If you’ve ever asked a phone company “what will this cost me?” and gotten a vague answer, you’re not alone. Business phone pricing is full of annual-only discounts, seat bands, add-ons and fees that don’t show up until the first bill.

This guide breaks down what actually drives the monthly cost of a business phone system in 2026, what the big national providers publish on their own websites, and how to get a real number for your business here in Louisville.

The short answer

For a modern cloud phone system, most small and mid-sized businesses pay somewhere around $15 to $35 per user per month for the core service, depending on the provider, the plan and whether you sign an annual contract. Taxes, regulatory fees and add-ons come on top of that for most providers.

At Louisville Telecom, our standard rate is $19.99 per seat per month, with volume discounts as you add seats. Additional extensions are $6.99.

What drives your monthly phone bill

1. Seats (your users)

A “seat” is a person who needs a full phone line: a desk phone, the mobile app and computer calling on one business number. This is the biggest part of your bill, so count carefully. Not everyone needs a full seat.

2. Extensions

Break rooms, warehouses, conference rooms and lobby phones usually don’t need a full seat. With Louisville Telecom, an additional extension is $6.99, which can cut the bill noticeably for offices with shared phones.

3. Add-ons

Base plans cover calling, voicemail, auto attendants and call forwarding. Extras cost more almost everywhere. At Louisville Telecom, Microsoft Teams calling, an AI receptionist, call center tools and cloud messaging are paid add-ons. Simple texting is included on seats with a direct number (10DLC campaign approval is required before business texting can be used).

4. Monthly vs. annual billing

This is the one that trips people up. Several national providers advertise their annual-contract price as the headline number. Pay month to month and the price goes up, sometimes by a lot. Always ask which price you’re looking at.

5. Taxes and fees

Federal USF recovery, E911 and state and local taxes are normal on phone service. Some providers list them on their pricing pages as extra; others don’t mention them at all. Ask any provider, including us, for an all-in estimate before you sign.

6. Hardware and setup

Buying desk phones and paying for installation can add hundreds of dollars up front. Louisville Telecom includes phones and free setup during the trial, so you aren’t buying hardware just to try it.

What the national providers publish

Here are the per-user list prices shown on each provider’s own pricing page, as checked on October 23, 2026. Prices change often, so check the provider’s site for current pricing.

RingCentral RingEX Core $30 $20 Extra, per their page
RingCentral RingEX Advanced $35 $25 Extra, per their page
Nextiva NEXT Core $23 $15 (annual term, new small businesses) Not stated on their page

Published list prices per user per month from each provider’s own pricing page, checked October 23, 2026. Not including taxes, fees or add-ons.

A few things to notice:

  • The annual price is the headline. RingCentral Core is $20 a user on an annual plan, but $30 month to month. Nextiva NEXT Core is $15 annually, $23 monthly.
  • Plan names don’t tell you much. Vonage’s Mobile plan doesn’t include video meetings on their page (Premium does), so compare what’s actually included.
  • Add-ons add up. RingCentral lists its AI Receptionist at $39 and Call Queues Booster at $35 as add-ons on its pricing page.

A quick example: a 10-person office

Say you have 10 employees who each need a full line, billed month to month, before taxes, fees and add-ons:

  • Louisville Telecom: 10 seats × $19.99 = $199.90/month (before any volume discount)
  • RingCentral Core: 10 × $30 = $300/month ($200 if you commit to a year)
  • Nextiva NEXT Core: 10 × $23 = $230/month ($150 on an annual term)

Add two shared extensions for a break room and a lobby, and Louisville Telecom adds $13.98, not two more full seats.

Your numbers will be different, and that’s the point. Plug your own seat and extension counts into our pricing calculator to see what you’d pay.

Questions to ask before you sign

  1. Is this the monthly price or the annual-contract price?
  2. What taxes and fees will appear on my bill?
  3. Do I need a full seat for every phone, or can some be extensions?
  4. Which features are included, and which are add-ons?
  5. Do I have to buy phones, and is there a setup fee?
  6. Can I keep my current numbers? (Porting typically takes about 10 business days.)
  7. Is there a trial or a guarantee?
